What is AI CFO software.
A practical guide for businesses and finance teams: what the category actually does, how it differs from ChatGPT on one side and reporting dashboards on the other, what to check before trusting any of it - and what it costs. Useful whether or not you ever buy ours.
AI CFO software connects a business’s accounting system and the operational systems around it, keeps that data reconciled and current, and does CFO work with it - answering questions in plain English with every figure traceable to source, composing reports for the business rather than offering templates, watching the numbers between questions, and holding the context a business has taught it. It is not a chatbot over an export, and it is not a dashboard: the category is defined by owning the data layer underneath the intelligence.
VibeCFO is an agentic AI CFO platform for small and medium businesses and the accounting firms that advise them. EVA connects your accounting system and the operational systems around it into a consolidated view you own, learns what your business is aiming at and guides you accordingly, and answers in conversation, reconciled against the source every time, across one business or hundreds of client entities at once.

What an AI CFO should actually do.
Eight jobs. Anything calling itself an AI CFO and doing only the third one is a chat window with a finance logo.
Read your live accounting data
Row-level, reconciled, refreshed on a schedule - not a snapshot you exported last Tuesday.
Read the operational systems around it
Jobs, rosters, stock, point of sale, practice management. The ledger says what happened; these say why.
Answer questions in plain English
And show where every figure came from, so the answer can be checked rather than believed.
Compose reports, not pick templates
Date ranges, comparatives and dimensions decided for your question - including the ones you would not have known to ask for.
Hold your business context
Your goals, definitions, exceptions and corrections, so the same question gets your business's right answer.
Watch the numbers and speak up
Standing instructions that run, read the result, write it up and send it - before you remembered to ask.
Keep people apart properly
User groups for who can open a report; row-level security for what each person sees inside it.
Act only with governance
Anything that changes another system should be deliberate, scoped, confirmed and logged - never a model improvising.
How the category differs from what you already have.
vs ChatGPT and Claude
General assistants reason brilliantly over whatever you hand them - and that is the limit. An upload is stale the moment it is made, nothing reconciles it, no row-level security separates who sees what, and the understanding resets with the conversation. An AI CFO owns the pipeline underneath the reasoning.
vs reporting software
Fathom, Spotlight and Syft produce genuinely polished packs from your ledger, and switch on in an afternoon - if that is all you need, they are proven. They connect accounting ledgers only: no job system, roster, stock or point of sale, so the questions that need two systems at once cannot be asked.
vs a fractional or full-time CFO
Not a replacement, and distrust anything that claims to be. Software replaces the assembly - the extracting, reconciling and re-running that eats a finance person’s week - not judgement, fiduciary responsibility or the advice relationship. Fractional CFOs run VibeCFO under their own judgement for exactly that reason.
Why accounting data alone is not enough.
The ledger records what happened, after the fact, in dollars. The systems around it know why - and the why is where the decisions live.
Xero shows the labour cost. The job system shows the hours, the jobs they went to, and which quotes they blew through. One is a total; the other is a lever.
Xero shows the revenue. WorkflowMax shows the WIP that has not been billed yet and the write-offs coming. The result says what; the job economics say why.
Xero shows the wages line. Deputy and the point of sale show wages against takings, per venue, per week - the number hospitality actually runs on.
25+ purpose-built integrations. Not API calls - transaction-level pipelines, reconciled against the source. See the stacks in real use →
What business data should an AI CFO connect to.
The ledger
Xero, MYOB, QuickBooks - the system of record, at transaction level
Jobs and practice management
simPRO, WorkflowMax, Xero Practice Manager, Karbon, FYI
Time, rosters and payroll
Deputy, timesheets, payroll systems - where labour cost actually originates
Sales channels
Shopify, point of sale - revenue as it happens, not as it posts
Stock
Inventory systems - the cash sitting on shelves
Your own databases and files
The system someone built years ago that still runs the business
Documents
Contracts, leases, policies - the terms behind the numbers
The public web
Rates, indices and competitor pages worth watching on a schedule
The six kinds of connection - and which one your system needs - are laid out at Connections.
The eight questions to ask any vendor.
Including us. Print this, take it to every demo, and be suspicious of any answer that takes more than two sentences.
Our own answers, in full, are on the security page - residency, training, row-level security, backups, SSO and MFA, and what happens when you leave.
What AI CFO software costs in Australia.
VibeCFO’s numbers, in the open
No base fee and nothing bundled. Integrations are $20, $40 or $60 AUD a month by size. Seats are $30 per admin, $15 per member with EVA access, $3 per member without. A typical start - Xero and MYOB, one admin, three EVA seats - is $115 a month, and that is the whole bill.
It begins with a 14-day guided trial. Nothing charged until Day 15, and only if you continue. Build your own number on the calculator →
Comparing anyone’s numbers
Competitor prices change too often for a guide to quote responsibly - check current pages. Compare like for like: what is actually connected (a ledger, or the systems around it too), what a seat means, what happens per client if you are a firm, and whether the price includes anyone maintaining the pipeline when a vendor ships a breaking change. The cheapest tool that cannot see your job system is not cheap.
Who this category is for - and who it is not.
A strong fit
- A business running a ledger plus at least one operational system - jobs, roster, stock or store
- Accounting firms, bookkeepers and advisors reporting across many clients, who need staff kept to their own
- Fractional CFOs who sell judgement and are tired of selling assembly
- Multi-entity groups consolidating across Xero and MYOB
Honestly, not a fit
- A microbusiness with one simple ledger and no operational complexity - your accountant’s pack may genuinely be enough
- Anyone wanting bookkeeping done - this reports on the books, it does not keep them
- Anyone expecting fully autonomous, irreversible financial actions - no responsible product in this category should offer that
- Systems or regions we do not support - ask first, and expect a straight answer
The questions people actually ask.
Around 800 businesses report through VibeCFO, most introduced by the firm that advises them. What that looks like for a business and for a firm differs - both pages show it concretely.
The buyer questions, answered.
What is AI CFO software?
Software that does the work a CFO would do with your data: it connects your accounting system and the operational systems around it, keeps that data reconciled and current, answers financial questions in plain English with every figure traceable to source, composes reports for your business rather than offering templates, and watches the numbers between your questions. It is a category distinct from chatbots over exports on one side and dashboard tools on the other.
What is the best AI CFO software in Australia?
Judge it on the checklist above: data residency in your own region, a no-training commitment, row-level security, reconciled pipelines into the systems Australians actually run - Xero, MYOB, XPM, simPRO and the like - and transparent AUD pricing. VibeCFO is built in Australia against exactly that list; this page exists so you can hold any vendor, including us, to it.
How much does AI CFO software cost?
VibeCFO has no base fee: integrations are $20, $40 or $60 AUD a month by size, seats are $30 per admin, $15 per member with EVA access or $3 per member, and a typical starting setup - two small integrations, one admin, three EVA seats - is $115 a month. Competitor pricing changes too often to quote here; check current pages and compare like for like on what is actually connected.
Is it safe to connect AI to Xero?
It can be, if the architecture is right. The questions that decide it: does the data land in a database of your own or a shared one; is it used to train models; is access enforced at row level before queries run; and is the connector an assessed, maintained pipeline or a weekend API script. VibeCFO is a Xero App Partner and security-assessed by Xero annually - ask any vendor for their equivalent.
Can I just use ChatGPT or Claude instead?
For a one-off analysis of an export, genuinely yes - they are excellent at it. What they cannot hold up is the data layer: live reconciled pipelines, history, row-level security between staff and clients, and standing instructions that run unattended. The full comparisons are at VibeCFO vs ChatGPT and VibeCFO vs Claude.
Does AI CFO software replace my accountant or CFO?
No, and be wary of anything that claims to. It replaces the assembly work - extracting, reconciling, building, re-running - not judgement, fiduciary responsibility or the advice relationship. Most businesses on VibeCFO were introduced by the firm that advises them, and the firm keeps working in it alongside them.
Where is my data hosted?
Your own database, in your own region, and the data does not leave the region you choose. Australia, New Zealand, United Kingdom, United States, Canada are available, on AWS, and your data is never used to train any model, ours or anyone else's, whichever model sits underneath - a contractual commitment, not a setting.
What should a small business connect first?
Your ledger and one operational system - the job system, the roster or the store. That single pair already answers questions neither could alone, and it is how the guided 14 days starts.
Hold us to the checklist.
Connect your own systems in the guided 14 days and ask the questions above of your own numbers. Jez runs the demo himself and would rather tell you it is not a fit.
