Xero, plus every other system you run. A CFO advisory platform, not bookkeeping.
EVA connects the systems your ledger cannot see, so the numbers arrive with the reason behind them.

SOLUTIONS

For firms and advisors.

One workspace per client. One place to stand. Staff see only their own. Whether you call yourself a firm, a bookkeeper, a virtual CFO or a consultant, the shape of the problem is identical.

The job title changes. The shape does not.

If you look after books that are not your own, this is your page - and the last two below are not firms at all, which is exactly the point. A franchise head office has the same shape as a practice.

ACCOUNTING FIRM

Partners and client managers

I have four hundred clients across Xero and MYOB, two practice systems that will not talk, and no way to see which jobs are bleeding until the WIP report lands three weeks late.

BOOKKEEPING PRACTICE

Owner-operators and their team

Every client wants a monthly pack. Building twelve of them by hand is my whole month, and the moment I hire someone I have to trust them with every client's file.

VIRTUAL CFO

Fractional and part-time CFOs

I charge for judgement and spend two thirds of my time assembling the numbers I am supposed to be judging. The assembly is not what they hired me for.

CONSULTANT / ADVISOR

Turnaround, M and A, growth

Every engagement starts with six weeks of getting access and rebuilding their numbers before I can say anything useful. The client is paying for that six weeks.

MULTI-ENTITY GROUP

Group finance, family office

Nine entities, three ledgers, one consolidated board pack. It is a spreadsheet held together by one person and I cannot go on leave.

FRANCHISE HEAD OFFICE

Network and franchisee support

Forty franchisees, forty Xero files, and I am supposed to benchmark them against each other. Half of them do not send me anything until I chase.

HOW IT WORKS

A workspace is a wall, not a folder.

Every client gets their own: their own connections, their own chart of accounts, their own reports. Nothing crosses between them unless you deliberately build a view that spans them, and only someone with the right to see both can open it.

01 / SEPARATE BY DEFAULT

One client cannot see another

Not by convention, and not because your staff are careful. The separation is enforced in the query before it runs, so there is no version of a mistake where one client's numbers appear in another's pack.

02 / STAFF SEE THEIR OWN

Assign people to clients

A client manager with eleven clients sees eleven workspaces. A junior on one job sees one. A partner sees the practice.

03 / BUILD ONCE, RUN EVERYWHERE

Your pack, across the book

Build the monthly pack the way your practice likes it, then apply it to every client on the same ledger. Change the definition once and it moves everywhere.

The bit that decides whether this survives past two partners

Most tools give you sharing. Sharing is a decision someone makes at the moment of sending, under time pressure, at 6pm. Row-level security is a decision made once, by you, that holds every time afterwards - including inside a report you forgot you built.

Yes, you can give the client a login to their own workspace. Most firms do it about four months in, once they trust the numbers enough to stop being the middleman.

YOUR SYSTEMS, NOT JUST YOUR CLIENTS’

The practice is a business too.

Everyone sells you client reporting. Almost nobody connects the practice’s own systems, which is where your WIP, your lockup and your unprofitable clients are hiding.

Client ledgers

Three ledgers, one set of report definitions. A client moving from MYOB to Xero does not cost you a rebuild.

Your practice systems

WIP and lockup by partner. Jobs finished but not billed. Clients whose fee stopped covering the effort two years ago.

The question most practices cannot answer, and this one can:
“Which of our clients are unprofitable once you count the chasing?”

Effort from Practice Manager or Karbon. Fee from Xero. The two have never been in the same place before.

PROOF

Firms already standing in one place.

“Row-level security is what made it usable past two partners. Consolidated across Xero and MYOB, and every person only sees their own clients.”

businesses reporting through VibeCFO, most introduced by their accountant.

For firms, answered.

Can staff be restricted to only their own clients?

Yes, and it is enforced before the query runs rather than filtered out afterwards. A client manager with eleven clients sees eleven workspaces. A junior on one job sees one. Nobody is trusted not to look, because nobody can.

Does VibeCFO work if my clients are split across Xero and MYOB?

Yes. Xero, MYOB and QuickBooks Online all have purpose-built pipelines, and one set of report definitions runs across all three. A client moving from MYOB to Xero does not cost you a rebuild.

What does it cost per client?

You are not charged per client for the core platform - the same plan covers one business or four hundred client workspaces, and you pay per integration and per seat. People who only read reports are not charged a full seat. The one place client count matters is the optional Power BI add-on, priced per client dataset. See the pricing page for the calculator.

Can I give a client their own login?

Yes, scoped to their own workspace and nothing else. Most firms do it about four months in, once they trust the numbers enough to stop being the middleman.

Can it report on my practice as well as my clients?

Yes, and this is the part most firms are not offered anywhere else. Xero Practice Manager, WorkflowMax, Karbon and FYI all connect, so WIP, lockup and client profitability are reportable next to the fees in your own ledger.

How long does it take to onboard a firm?

Start with two clients rather than four hundred - your messiest and your simplest. The guided fourteen days is enough to prove it on both, and the guided path costs nothing extra.

Bring two clients. Not four hundred.

Pick your messiest client and your simplest one. If it does not work on both, it will not work on the book. Card at signup. Nothing charged until Day 15, and only if you continue.
